Pexovia ("we", "our", "us") is committed to protecting your personal information. This Privacy Policy explains how we collect, use, and safeguard data when you use our website, services, or communicate with us via WhatsApp, email, or social platforms.

01. Information We Collect

We collect information you provide directly to us, as well as information generated through your use of our services:

  • Contact Information: Name, email, phone number, and business details you share when reaching out.
  • Project Information: Details about your business, project requirements, goals, and files you share for service delivery.
  • Communication Data: Messages and conversation history exchanged through WhatsApp, email, or social media.
  • Usage Data: Browser type, IP address, pages visited, and time on pages collected through website analytics.
  • Payment Information: Billing details processed through secure third-party payment processors. We do not store full card details.

02. How We Use Your Information

We use collected information for the following purposes:

  • To deliver, manage, and improve our digital services (AI automation, marketing, UI/UX design).
  • To respond to your enquiries and communicate about your projects.
  • To send relevant updates or service information — only with your consent.
  • To comply with legal obligations and resolve disputes.
  • To analyze website performance through anonymized analytics.
  • To protect against fraud and unauthorized access.

We will never sell your personal information to third parties for their own marketing purposes.

03. Data Sharing & Third Parties

We may share your information with trusted third-party service providers, including:

  • Meta (Facebook/Instagram): For advertising campaign management on behalf of clients.
  • Google: For Google Ads management and website analytics.
  • Make.com: For automation workflow execution in client projects.
  • WhatsApp Business API providers: For automated communication systems.
  • Payment processors: For handling billing and invoices securely.
  • Cloud storage providers: For storing project files and assets.

All third parties are contractually required to handle your data in compliance with applicable data protection laws.

04. WhatsApp & Communication Data

When you contact us or when we build WhatsApp automation systems for your business:

  • Messages sent to our WhatsApp (+92 309 001 4144) are retained for customer service purposes.
  • If we implement a WhatsApp automation for your business, your end-customer data is processed according to the data processing agreement in our service contract.
  • We follow WhatsApp Business API guidelines and only message users who have opted in.
  • Conversation data used to train automation flows is anonymized where possible.

05. Cookies & Tracking

Our website uses cookies and similar technologies:

  • Essential cookies: Required for the website to function correctly.
  • Analytics cookies: Google Analytics to understand how visitors interact with our site (anonymized data).

08. Data Retention

  • Client project data and communications: minimum 3 years for legal and business purposes.
  • Website analytics data: 26 months per Google Analytics default settings.
  • Marketing opt-in records: retained until you withdraw consent.
  • Financial and billing records: up to 7 years to comply with Pakistan tax regulations.

After the retention period expires, data is securely deleted or anonymized.

09. International Transfers

Pexovia is based in Pakistan. Some of our third-party tools operate internationally, meaning your data may be transferred and processed in other countries. We ensure appropriate safeguards are in place, including reviewing the data processing terms of all third-party providers and using services that comply with international data protection standards.

Terms of Service

These Terms of Service govern your relationship with Pexovia when you engage us for digital services including AI & WhatsApp automation, digital marketing, and UI/UX design. By engaging our services, you agree to these terms in full.

01. Acceptance of Terms

By accessing our website, initiating contact, or entering into a service agreement with Pexovia, you confirm that you have read, understood, and agree to be bound by these Terms of Service. If you do not agree, please do not use our services.

These terms apply to all visitors, clients, and any other parties who interact with Pexovia. We reserve the right to update these terms at any time. Continued engagement after changes are posted constitutes acceptance of the revised terms.

02. Our Services

Pexovia provides the following digital services:

  • AI & WhatsApp Automation: Design and deployment of intelligent chatbot systems, automated messaging flows, CRM integration, and 24/7 customer engagement infrastructure.
  • Digital Marketing: Campaign strategy, creation, and management across Meta, Google, LinkedIn, and other platforms.
  • UI/UX Design: Interface design for web, mobile, SaaS products, dashboards, and brand identity creation.

Scope, deliverables, timeline, and pricing are defined in a separate Project Proposal or Service Agreement. In case of conflict, the Service Agreement takes precedence.

03. Client Responsibilities

To ensure successful delivery, clients agree to:

  • Provide accurate, complete, and timely information, content, assets, and access required.
  • Designate a primary point of contact with authority to make decisions and approve deliverables.
  • Respond to feedback requests within the agreed timeframe.
  • Ensure materials provided do not infringe third-party intellectual property rights.
  • Comply with all applicable laws and platform policies (Meta, Google, WhatsApp, etc.).

Delays caused by client failure to meet these responsibilities may result in revised project timelines without penalty to Pexovia.

04. Payment & Refund Policy

  • Deposit: A non-refundable advance payment (typically 50%) is required before work begins.
  • Final Payment: Remaining balance is due upon project completion and before final files are delivered.
  • Ongoing Retainers: Monthly retainer fees are due at the beginning of each billing period.
  • Late Payments: Payments more than 7 days overdue may incur a late fee of 5% per week.

Refund Policy

Due to the custom, time-intensive nature of our work, all deposits are non-refundable. Refunds on final payments may be considered only in cases where Pexovia fails to deliver agreed-upon services through no fault of the client.

05. Intellectual Property

Upon receipt of full payment, Pexovia transfers ownership of final deliverables to the client. This transfer does NOT include:

  • Pexovia's proprietary methodologies, frameworks, templates, or tools used during the project.
  • Third-party assets or licensed elements included in deliverables.
  • Source code or configuration for tools owned by third parties.

Pexovia retains the right to display completed work in our portfolio and marketing materials unless otherwise agreed in writing. All content remains Pexovia's property until final payment is received in full.

06. Confidentiality

Pexovia agrees to keep all client business information, data, strategies, and materials strictly confidential and will not disclose to any third party without express written consent, except where required by law.

Similarly, clients agree to keep Pexovia's pricing, proprietary processes, automation frameworks, and internal documentation confidential. A formal NDA can be arranged prior to project commencement if required.

07. Limitation of Liability

Important Notice

Pexovia's liability in any dispute shall not exceed the total fees paid by the client for the specific service in question during the preceding 3 months. We are not liable for indirect, consequential, or incidental damages including lost revenue, lost profits, or business interruption.

Pexovia does not guarantee specific results from digital marketing campaigns, automation systems, or design projects, as outcomes depend on factors beyond our control including market conditions and platform algorithm changes.

08. Project Timelines & Revisions

  • Revisions: Each project includes a defined number of revision rounds. Additional rounds beyond the agreed limit may be billed separately.
  • Scope Changes: Additions to the original scope will be quoted separately and may extend the timeline.
  • Client Delays: If a client delays approval or asset delivery by more than 14 days, Pexovia may reschedule based on current workload.
  • Abandonment: Projects inactive for 60 days due to lack of client response will be considered abandoned. Re-initiation requires a new deposit.

09. Termination

  • Client Termination: Clients may terminate ongoing services with 14 days written notice. Work completed to that date will be billed and must be paid. Deposits are non-refundable.
  • Pexovia Termination: We may terminate services immediately if a client engages in abusive behavior, requests illegal or unethical work, or fails to make payment after due notice.
  • Upon termination: All completed work will be delivered upon receipt of outstanding payments.

10. Governing Law

These Terms are governed by the laws of the Islamic Republic of Pakistan. Any disputes shall be subject to the exclusive jurisdiction of the courts of Lahore, Punjab, Pakistan.
